How Can Companies Organize A Virtual Family Day?

How Can Companies Organize A Virtual Family Day?

Studies show that companies that are more family-centric have happier and more productive employees. It is understandable that employees whose families are cared for by their companies will want to do their best.

So, how can a family-centric company connect thousands of employees and their families across the globe through a single corporate event? It may seem like a daunting task, but with the right planning and execution, your company might just be able to pull off something extraordinary!

So, here are a few simple steps to organizing the perfect virtual family day.

  • Decide your reach
  • Figure out a theme to make your event relevant
  • Identify a suitable platform
  • Finalize the duration of your event
  • Have a ‘WOW’ factor to hook your audience
  • Use gamification in virtual event platforms
  • Promote your event in the right manner

1. Decide your reach

If you are an organization with thousands of employees who are spread over different geographic regions, you may have to organize more than one virtual team event. We recommend that you host multiple events because time and cultural differences cannot be ignored especially when families and little children are involved. If you can only host one event, then pick a time and reach that covers most of your employee population.

2. Figure out a relevant theme

The downside to large-scale events is picking the right theme. Superman may be big in one country but in certain others, it might be another superhero. Similarly, English may not be the preferred language for all your employees and their families. Again, making your event as ‘local’ as possible ensures that you receive good participation.

3. Identify a suitable platform

If you are hosting several corporate events in different regions, then you need a platform that is customizable. Not all virtual event platforms offer the same flexibility. If you are looking to make your event rustic and locally relevant, pick a 100% customizable platform like Virtex. Not only can you tweak the features to suit your needs, but you also have a support team to help with outreach and marketing.

4. Finalize the duration of your event

Virtual events can become abnormally long especially if your agenda is not relevant to the audience attending. So, decide on a duration. Get a count of how many children are attending and decide accordingly. Children have shorter attention spans, so we recommend that you stick to two hours at the most.

If you have a longer list of items to finish, then spread the event out to three or even four days with a grand finale on the last day.

5. Have a ‘WOW’ factor to hook your audience

It is not easy to keep children entertained. So, make sure to include several ‘WOW’ elements in your events. It could be a virtual magic show or a puppet show. These could take place when audience engagement is expected to lower. It could be at the end of a segment, or on the final day of your event.

6. Use gamification in virtual event platforms

Kids love games, but so do adults. Platforms like Virtex give you 100% customization to make and create games of your choice. Ensure that your participants are engaged through these games, so make them interactive and have exciting rewards ready.

7. Promote your event in the right manner

Before the actual event commences, you will need to create some buzz around it. Make use of social media promotion tools on virtual platforms. You can also use your Intranet to promote the event. Make things more relatable to your audience by featuring families of your employees in your promo videos.

How To Organize Virtual Property Expos That Also Boost RoI?

How-To-Organize-Virtual-Property-Expos-That-Also-Boost-RoI

How To Organize Virtual Property Expos That Also Boost RoI?

Property expos are one of the most sought-after events in the real estate industry. After all, they present businesses with the opportunity to showcase some of their best work while enabling attendees with ancillary services like loan applications.

While businesses have largely embraced the move to virtual exhibition platforms since 2020, there are still a few concerns around generating the same quality of leads and earning decent revenue.

Moreover, some of them opine that the intimacy and connection felt in a physical event can never be replicated through any virtual event.

There is some truth to their fears. However, technology has made a lot of headway in this space now and it is possible for real estate developers to display some of their best work to customers/attendees while using smart tools to enhance their RoI.

Through platforms like Virtex, you can achieve the following.

1. Engage the best minds in the business to share their resources

At a physical event, the amount of information you have is confined to the region where you do business. This will not allow you to engage openly with attendees from other regions and at a property expo, everyone is a prospect.

However, on a virtual exhibition platform, you can gather a solid team of professionals from all over the world. That will put you in a position of knowledge and today, knowledge is power.

These experts can help you put together marketing collateral like brochures, banners, videos, and infographics that contain very useful information for your attendees.

Eventually, they are going to want to do business with a firm that knows what it is doing.

2. Use technology to replicate physical properties

This is something that is as effective even physically. But a great virtual event idea is to build a 360-degree virtual tour of all the properties that you want to showcase. Attendees will be thrilled as they walk through the house.

You can take it up a notch by letting attendees ‘interact’ with this house. You can allow them to pick wall colors, interiors, modular designs, pick out furniture, and so much more. This is an immersive experience that makes attendees feel that they are a part of your brand and improves their willingness to buy from you.

You can even add this section to your website after the event, so it is available to visitors on demand.

3. Leverage the benefits of using event analytics

Your virtual event idea is incomplete without event analytics. And virtual platforms make analytics much more interesting. It is tougher to gauge your audience’s interest and intent through a physical event but you can utilize post-session surveys, quick polls, games, and quizzes during your virtual property expo to know so much about your attendees. For instance, you can understand their:

  • Engagement levels by putting up quizzes
  • Intent to buy through polls
  • Awareness of your brand through games/quizzes
  • Buying cycle stage through the questions they ask in Q&A and live chat sessions
  • Overall experience with the event and whether they have moved up in the buying stage cycle through post-session surveys

You can leverage everything that event analytics can offer. But, at the same time, you also need to be prepared with a feedback team, that can act on it and translate it into meaningful business data.

How to Market a Successful Virtual Event & Conference in 2022

How-to-Market-a-Successful-Virtual-Event-&-Conference-in-2022

How to Market a Successful Virtual Event & Conference in 2022

A lot of virtual events are happening across diverse industries. About 89% of the industries propagate their marketing message through virtual conference platforms. There is tough competition in creating compelling event marketing strategies that cut through the noise and attract the audience. Even your rivals seem to use the same marketing channels as you do. How should you market a successful virtual event for it to reach a global audience without getting caught in the digital shuffle?

Proven marketing strategies to get your virtual event a heart:

Before planning a marketing event, understand your audience and your target persona research on audience demographics, interests, and goals. This information is crucial to leverage the appropriate marketing channel and the marketing message you need to adopt. Other core marketing strategies for a successful virtual event are given here.

1. Create a stunning landing page:

The landing page of the virtual event is the focal point of the marketing campaign. The winning strategy for an effective virtual event conference will help spruce up the landing page with interesting and attractive designs. This fosters audience communication and motivates them to register for the event. The landing page should include an

  • Attractive event title,
  • Schedule of the event,
  • Event agenda and a brief overview of the event,
  • Brief event content and images,
  • An interesting video to attract traffic.

2. Have a clear marketing plan:

Before creating a clear marketing plan, set a clear goal and understand your audience perfectly. Understand their expectations from the event through pre-event polls and surveys. Establish the event budget and seek help from sponsors if required. Build a marketing team to help with marketing, technical support, and event coordination.

3. Market the event at the right time:

Now that you have done all the groundwork and got the event strategy and team ready, the next is to announce the event. Though you are excited and all set for the announcement, wait for the right time. Doing it too early will dilute the anticipation of the event, and doing it too late will fail to drive enough reach.

As a general rule, set up the landing page on the virtual event platform 2 weeks before the launch date. This is a safe time to fall into the audience’s radar and create event buzz.

4. Tap the benefits of email marketing and social media:

Email marketing is pivotal for successful marketing. Craft emails with a clear subject line and start mailing the existing subscribers. Include a clear call for action in the email along with the invite.

Social media is also a great place to create buzz about the event. Choose the best event platforms like Virtex to amplify the event message and to foster two-way engagement through messengers.

5. Market the event through the sponsors:

Large events have to leverage sponsors. Getting them on board is the best marketing strategy for the virtual event, and it will help them achieve their sponsorship goals. Sponsors can market the event on their website, social media wing, and other web content. And motivate the key speakers to share event information on their social profiles.

It is mandatory to keep working on the virtual event promotion strategies to maintain audience engagement levels. This throws light on the existing marketing strategies and opens venues for improving the successive events. You can try offering a secret giveaway for those who register for the event. And choose the best event platform in India like Virtex to help with real-time insights and analytics of the event. The key to a successful event is always creativity, adaptability, and being laser-focused on the audience and their interests.

Proven ways to engage your guests in hybrid events:

Proven ways-to-engage-your-guests-in-hybrid-events

Proven ways to engage your guests in hybrid events:

With the introduction of vaccines and the incidence of the pandemic reducing considerably, the year 2022 is witnessing a tremendous increase in hybrid events. The hybrid events happen both physically and virtually and manage both audiences simultaneously. Though it offers the best of both worlds, there are chances of less audience engagement in hybrid events. With the right hybrid event platform and appropriate engagement tools, it is possible to engage the audience throughout the event.

Some tips for engaging the audience in the hybrid event:

There are many options to make a hybrid event work. There are many excellent ways to enhance engagement, from online quizzes to scavenger hunts. Let’s discuss some of these techniques here.

1. Schedule the hybrid event smartly:

Hybrid events are a blend of a physical and virtual audience. It might be easy for the physical audience to attend long sessions, as they take breaks in between. For the virtual audience, it is hard to sit with the gadget for long hours. Thus, hybrid events demand smart scheduling to retain audience interest and participation.

It is optimal to conduct shorter and more frequent sessions. Try to start and finish the virtual sessions earlier. Conduct quiz and contests with rewards during the break sessions so that the virtual audience comes back even after leaving for breaks.

2. Create small groups for effective mingling:

Some attendees find it hard to speak in front of a large audience. Hence, dividing the audience into small groups to encourage conversation. Use networking lounges and special digital lobbies to accomplish this task.

Choose a hybrid event platform that offers live chat and video call options to connect with the in-person guests and the speakers. It offers opportunities for virtual and in-person guests to chat with each other. This helps in better networking and, in turn, fosters engagement. This engagement strategy should be prepared early in the planning process to avoid last-minute work.

3. Enhance networking opportunities between in-person and online attendees:

In the hybrid event, both the online and in-person attendees should get the opportunity to network with each other. They should also get the opportunity to interact with the panelists. Accomplish this by,

  • Using polls, breakout rooms, live chats, and games to create the highest level of interaction.
  • Share the contact details of key speakers so that the attendees seek a chance to communicate and interact with them.
  • Appoint a virtual host or a moderator to engage the virtual audience. They also serve as a bridge of communication between both the audience.

4. Incorporate interactive activities in the hybrid event:

Interacting with the audience is one of the most effective ways to engage them. Some online event ideas to break the ice and encourage the online audience to speak are

  • Speaking to them directly and addressing them by their name.
  • Inviting them to respond to questions
  • Invite them on the stage to express their thoughts.
  • Give a chance for the virtual audience to voice their opinions and present them on the screen.
  • Allowing the on-site attendees to speak with the online participants and vice versa.

Use the interactive services offered in the event app and the event platform. Use them to display the poll results in real-time and announce rewards for the winners in real-time. Rewards are the best ways to foster engagement and improve retention rates.

The hybrid event platform plays a crucial role in driving engagement in the hybrid event. Almond Virtex offers an exceptional hybrid event platform with a seamless networking experience for the attendees. What factors should you consider while selecting a virtual event platform?

What-factors-should-you-consider-while-selecting-a-virtual-event-platform

What factors should you consider while selecting a virtual event platform?

The virtual event platform is a flexible software solution that helps planners organize, promote, execute and manage their online events. With so many virtual event platforms out there, finding the best match isn’t easy. Here are some factors to consider while choosing the platform to organize stellar events.

1. Ensure the platform has an aesthetic appeal with customizable design options:

The first thing that the attendees, sponsors, and even the speakers notice about the event, is its design. The design of the event platform represents the brand and the message. It should perfectly align with the brand message and should carry customization options. It should reflect the brand identity and adapt its logo, colors, and visual elements. And this should reflect throughout the platform from the registration page to the actual presentation booth. It should offer the same experience for the sponsors, reflecting their image in the virtual exhibitor spaces. It should allow sponsors to customize their booths with their branding message and design elements.

2. Check the list of event presentation tools in the platform:

The event platform should render all tools and plugins to host premium virtual events. From mobile apps to CRM tools and a dedicated customer support team, it should cover every single aspect of the event. Be it conferences, exhibitions, community events, or training programs, the platform should posses scalable tools that are phenomenal to use.

Choose a most trusted virtual event platform that supports both live and pre-recorded sessions, supports live interaction with the audience, engages the audience through surveys and polls, etc. It should posses a virtual networking zone for audience interaction and allow instant video access to communicate. In short, the platform should deliver an absolute digital experience and accommodate reward programs, café, and game zones.

3. Make sure the platform has integrated software for event management:

Online events demand meticulous planning similar to physical events. The secret ingredient for seamless event performance is event management software. It should include,

  • Registration feature for attendees
  • A built-in email system to send invitations and marketing messages for the audience
  • Landing page for the event
  • Engagement features and gamification options
  • Social media integration for optimal networking and to create event-buzz through real-time            content.
  • An integrated event management software offers real-time analytics and reports about the         event.
  • Finally, ample automation options to de-complication manual work.

4. Real-time tech support:

Nothing can hinder a great event experience greater than insufficient technical support. Choose a virtual event agency that offers real-time technical support pre, during, and post-event. This helps in handling,

IT infrastructure relevant issues, such as power cuts, internet, Wifi problem, etc.

Platform-related problems such as login and access issues, black screen, etc.

Round-the-clock support from technical personnel.

It is thus crucial to ensure that the event platform you are working with, is fostered by a highly responsive, helpful, and quick technical team.

5. Ease of use:

This is perhaps one of the most neglected aspects of event management. Choose a platform that makes it easy for the attendees, speakers, and sponsors to log in, take part and experience the thrill of the live event. It should be simple to use and set up. Ensure it has a clean and user-friendly interface so that you don’t waste your time on it’s technical aspects. And it should be compatible on different devices and screens as well.

At Almond Virtex, we offer a highly personalized and customizable virtual event platform that caters to brands from multiple industries. Level up the audience engagement at the hybrid event with these proven strategies

Hybrid Event Platform

Level up the audience engagement at the hybrid event with these proven strategies:

Hosting hybrid events opens up the event doors to a broader and extensive audience. It also offers a lot of networking opportunities with peers and inspires people with the energy of the on-stage speaker. But, it is challenging to keep the audience and the speaker on the same page. And here are some winning online event ideas to engage your audience in the hybrid event.

Proven ways to improve audience engagement in the hybrid event:

The primary KPI for the success of the event is attendee engagement. But it is a tough job to crack, and a hybrid event makes it more challenging. Screen fatigue could be a problem with on-screen attendees. And the negative vibes of some can spread and transmit to a room full of people. Here are some winning secrets that help you drive maximum audience engagement at the virtual event.

1. Keep the event crisp and sharp:

Traditional meetings lasted for hours, extending well beyond the lunch break in many offices. But this trend cannot be projected over the hybrid event. Online audiences are better with shorter sessions, and the recommended average presentation time is 30 minutes. Speaker has to make their note enjoyable with critical takeaways to retain the audience’s attention. Ensure that the speaker is talented to handle both the online and offline audience simultaneously. The critical attributes for a successful hybrid event are short sessions, quick message delivery, and exciting breaks. Optimize the break with surveys, polls, notifications, and reward giveaways.

2. Customize the event for the audience:

People show interest in events that specifically impact and interest them. People might forget what you said and did but never forget how you made them feel. Personalize the event presentations to help them engage better. Please take a brief survey on what the attendees expect from the event, their interests, the areas in which they need help, etc. This will help plan the sessions around what the audience wishes to hear. Customize the event experience with live questionnaires and polls to measure the audience engagement in the presentation.

3. Foster interaction among the audience:

It is common to neglect the online audience of the event. Give them a voice to interact in the event. Choose a hybrid event platform that fosters interaction among the audience and the panelist through live chat and live video options. One best way to encourage interaction between the online and offline audience is to introduce them to each other. Screen the online audience video panels before the event starts. The virtual networking zone in the event platform will encourage attendees to create their profiles and interact one on one. Use small breakout rooms with a mix of both audiences to start conversations and to delve deeper into their networks.

4. Announce exciting rewards:

Rewards are exciting and can achieve high audience retention and engagement rates. Random prize draws are valuable elements to involve the participants. The rewards could be a physical product or a service that the attendees are long awaiting. They are also perfect moments to celebrate the sponsors, as they generally donate the rewards. Such options encourage attendees to stay online and consume the key takeaways.

5. Gamification is directly proportional to audience engagement:

Games are effective ways that help both educate and engage the users. It encourages the attendees to be a part of the event, winning prizes and badges along. Provoke the competitive spirit of attendees by conductive games, and offer points for every active participation. Virtual platforms that support gamification can conduct live quizzes and scavenger hunts and prepare a leaderboard to reward the winners.

6. Choose an ideal event platform:

A perfect hybrid event platform like Virtex is the key to planning and customizing the event for the audience. The platform organizes expos with highly interactive booths to deliver personalized experiences. Its social media tools help create the event buzz and amplify two-way engagement. You can also leverage its live dashboard for real-time engagement numbers and robust performance metrics to measure the event’s success.

While planning for in-person elements for the event, consider how they could translate into an online experience. Plan every step of the event and keep the audience’s experience as a critical factor in your event strategy.

5 great ways to promote and market your next hybrid event

Pre-event marketing is a prerequisite for the success of the hybrid event. This helps in building Anticipation in people about the big unveiling. The ultimate aim of heaping the pre-buzz around the event is to motivate the attendees to attend the hybrid event. Choose a hybrid event platform that builds the hype before the event is live.

Five pre-buzz tricks that work for your grand product launch:

Pre-event marketing offers a sneak-peak into the event’s content and demands frequent up-gradation, preventing the buzz from subsiding. When done appropriately, it builds the event’s popularity through word-of-mouth marketing. Here are the top five ways to create the pre-buzz for your hybrid event that works.

1. Release frequent teasers in social media:

Choose the event platform compatible with social media and WhatsApp to release teaser videos relevant to the event. You can also release the teaser in messenger and WhatsApp for a two-way engagement. Use the hybrid platform to post frequent updates on the event. Ensure that anyone who is signed up or following the page gets the updates. Use the event page to keep people updated on the most interesting and exciting parts of the event.

2. Launch a contest before the actual event:

If your event can accommodate a contest, do not fail to grab the opportunity. Contests are great ways to encourage competition and interest in the event. If possible, conduct a contest relevant to the event itself. Send invitations to the prospects through chatbots that are integrated into your hybrid event platform. Encourage people to prepare for the contest and provoke their interest in the event.

3. Market your virtual event platform:

The event platform is the key for a successful hybrid event. Market the cool features of the virtual event platform and brag about it. Talk about the customization options it offers along with its interactive features to enhance the expectations of the guests on the event.  Posting regularly about the event also reminds the prospects to attend it. Email marketing can be used as a potent tool to accomplish this task. Make these campaigns two-way by asking for clarifications and responses from the contacts.

4. Involve your influencers in the pre-buzz activity:

This is one of the best online event ideas to channel tremendous attendance for your next hybrid event. Get the influencers to talk or post on your behalf regarding the event on their own social media channels. What is a celebration without music and dance? Just because Holi is hosted virtually, it is not right to starve great music. Divide the attendees into groups and play Rang Trakshri, the younger sibling of Antrakshri by making them sing songs. Get an emcee on board to initiate the teams to sing songs from different starting letters. The team that fails to sing a song, starting from the letter given by the Emcee loses a point. Music is eternal to bring festive vibes in any event, and Holi shouldn’t be an exception. Playing with songs also helps the teams relax and have a fun day at work.

2. Online dance parties:

The Holi celebrations would be incomplete without an online dance party. After all, festivals are all about letting yourself enjoy the beats of great music. Choose the best virtual event agency that supports virtual dance shows and competitions. Imagine the attendees dancing to the rhythms and enjoying the moment; it makes the celebration interesting. You can also get a professional dancer on board to execute great dance moves.

3. Scavenger hunts:

Treasure hunts add more enthusiasm to the Holi celebrations. A virtual treasure hunt keeps the participants on their feet and entertains them. You can offer instant gratifications to reward the participants for their interest. Choose a platform that delivers multiple sessions simultaneously to perform great scavenger hunts.

4. Relaxing Holi concert:

End the online celebrations with relaxing music shows to entertain the participants. You can stream a recorded video or indulge in a Live Holi performance. Allow the participants to react through emojis in the chat option. You can also allow the talented singers in your group to perform with the live band.

Compliment your Holi celebrations with a compatible virtual event platform:

Choosing the best virtual event platform is the first step to creating great virtual experiences that the attendees will remember. Choose an all-in-one platform that offers robust hosting features such as live streaming, color full virtual booths, live chat, gamification, etc.

Choose a platform with Holi-themed virtual booths that is open for customization. It should offer the attendees a close to real-world experience. Virtual platforms like Virtex hosts 3-D virtual booths and gives attendees a close-to real-world experience. It helps create a fabulous party for the colleagues, full of fun and entertainment.
